Business Invoicing Steps from Quote to Payment

ഇൻവോയ്സിംഗ് ഘട്ടങ്ങൾ: ക്വോട്ട്, ജോലി, ഇൻവോയ്സ്, പണം ശേഖരണം.

Business invoicing steps that get you paid: agree the price, do the work, issue a correct invoice immediately, and follow the due date. Firms that invoice “when we have time” lend money to customers by accident.

The steps

  1. Quote with scope, price, and GST treatment.
  2. Get a yes you can point to.
  3. Deliver and note completion.
  4. Issue the invoice the same day. If you are registered, use a GST invoice format.
  5. Send it on WhatsApp and email with the due date and UPI or bank details.
  6. Remind before the due date and on the due date.
  7. Record the receipt against that invoice, not as a lump in the cash book.

Use one tool

A notebook and a later “reconstructed” invoice cause GST mismatches. Pick a tool from invoicing software or a disciplined bill book, and stick to it.

Invoices are not profit

A raised invoice is sales. Profit comes after costs. See gross profit versus net profit.

Frequently Asked Questions

When should I invoice?

When the supply is made or as the contract says. Do not wait until you need cash.

What if the client delays?

A written due date and a reminder sequence. Stop new work if the old invoice is badly overdue.

Do I need an invoice for small UPI payments?

If you are in the GST system or you want clean books, record the sale properly. Small does not mean invisible.
